Frequently Asked Questions

1. I receive the error message: "You are not authorized to run this program". What should I do?

a) Users defined in "Authorized Instructors" list are authorized to use Academic-CV program. If you are not in one of those user groups, you are not allowed to log on to Academic-CV program.

b) Employment start date is one of the criteria to log on to program. For example, in order to log on to program and enter your information belonging to year 2017, your employment start date should be in 2017 or before. If your employment start date is in 2018 and you are in one of the user groups defined in "Authorized Instructors", you will be allowed to log on to program in the next data entry period.

c) If your employment start date is in 2017 or before and you are in one of the user groups defined in "Authorized Instructors", then you are probably entering your user code incorrectly or there is a problem with your user code. Please e-mail to academic-cv@metu.edu.tr including your user code and personnel ID number as well as the error message you have received.

2. I receive the error message: "Error in User Code or Password ". What does it mean?

Please try to log on to other systems such as METU Horde or METU-SIS with your user code and user password. If you are able to log on to other systems, then you were probably entering your password incorrectly. If you are not able to log on to other systems as well, you may have problem with your user password. Please e-mail to academic-cv@metu.edu.tr including your user code and your personnel ID number as well as the error message you have received.

3. I would like to change my information belonging to the previous years, however the program does not allow me to do so. What should I do?

Please apply to your department’s head and request rendering of your status from "Completed" to "Not Completed".

4. I have clicked the "Completed" button before I was able to enter all the necessary information. What should I do?

Please apply to your department’s head and request rendering of your status from "Completed" to "Not Completed".

5. I am the head of the department, how will I render the "Completed" status to the "Not Completed" status?

After you log on to Academic-CV program, you also have to log on to Academic Personnel CV Information program. You have to select the ‘Approve button in order to display the names of the instructors in your department. As you click on the button next to the name of the instructor that you will perform an operation on, a page including the activity titles will be displayed. You can change the status to "Not Completed" by clicking the 'Remove Completed' button at the bottom of that page.

If there is no "Remove Completed" button at the bottom of the page, it means that the information is approved by the Dean. Dean is the only person to remove the approval, therefore you have to contact the Dean.

6. If I log out by typing "Exit", will I lose the data I entered to the program?

No data will be lost. Clicking the "Insert" button before you log out of the program will save you from losing the information you had just entered. All the information will be transferred to the database and will remain there until you decide to delete them.

7. How can I view all the information I entered?

After you log on to Academic-CV program, you also have to log on to Academic Personnel CV Information program. As you log on to this program, a page including the activity titles will be displayed. You can view all of your information by clicking the 'List' button at the bottom of that page.

8. How can I view my information belonging to previous years?

After you log on to Academic-CV program, you also have to log on to Academic Personnel CV Information program. As you log on to this program, a page including the activity titles will be displayed. You can view your information belonging to a specific year, if you enter the year in the "Activity Year" textbox on the top of the page (e.g. 2015) and click the "List" button at the bottom of the page.

9. Which data are transferred from other systems to Academic CV program?

Data concerning theses supervised (41-Thesis Supervision) and course load (42-Course Load) have been automatically transferred from the Student Affairs Database.

Data concerning 32-Project Work have been automatically transferred from the Project Flow Management System (PAYS), those concerning TUBITAK, BAP1, BAP2 and SANTEZ projects (national projects) are taken from the BAP Coordination Office; and those concerning EU Projects (international projects) from the Project Support Office.

Data concerning 15-Citations, 31-Patent and 53-Refereeing have been transferred from ATOSIS.

Our academicians are requested to check the relevant data and make corrections where necessary.

In case of failure to check and correct the data, it will not be possible to calculate the points if the relevant data are missing, or if the data are incorrect, points will be calculated with erroneous data.

If your data has failed to transfer:
1- Your data might not have been recognized by the system where it has been transferred.
2- Your data might not comply with the transfer criteria.
3- Transfer might have failed so as not to change the data you have already transferred.

1. "You are not authorized to run this program" hatası alıyorum, ne yapmalıyım?

a) Academic-CV programına "Authorized Instructors" bölümünde tanımlı kullanıcıların giriş yetkisi bulunmaktadır. Belirtilen kullanıcı gruplarından birine dahil değilseniz programa giriş yapamazsınız.

b) Academic-CV programına faaliyet giriş yılı ve öncesinde göreve başlamış olan kullanıcılar giriş yapabilmektedir. Örneğin 2017 yılı faaliyet bilgilerini girebilmeniz için 2017 yılında veya daha önce göreve başlamış olmanız gerekmektedir. Yeni göreve başlamışsanız ve "Authorized Instructors" bölümünde tanımlı kullanıcı gruplarına dahilseniz, bir sonraki faaliyet giriş döneminde yetkilendirmeniz yapılacaktır.

c) Faaliyet giriş yılı ve öncesinde göreve başlamış olmanıza ve "Authorized Instructors" bölümünde tanımlı kullanıcı gruplarına dahil olmanıza rağmen giriş yapamıyorsanız, kullanıcı kodunuzu yanlış giriyor olabilirsiniz ya da kullanıcı kodunuzla ilgili bir sorun olabilir. academic-cv@metu.edu.tr adresine, kullanıcı kodunuzu ve sicil numaranızı da ekleyerek, aldığınız hata mesajını içeren bir e-posta gönderiniz.

2. "Error in User Code or Password " hatası alıyorum, nedeni nedir?

Kullanıcı kodunuz ve parolanız ile METU Horde, METU-SIS gibi diğer merkezi sistemlere giriş yapabiliyorsanız, programı kullanırken parolanızı yanlış giriyor olabilirsiniz. Eğer diğer sistemlere de giriş yapamıyorsanız, parolanız ile ilgili bir sorun olabilir. academic-cv@metu.edu.tr adresine, kullanıcı kodunuzu ve sicil numaranızı da ekleyerek, aldığınız hata mesajını içeren bir e-posta gönderiniz.

3. Geçmiş yıllara ait bilgilerimi değiştirmek istiyorum, ama program buna izin vermiyor, ne yapmalıyım?

Bölüm başkanınıza başvurarak, "Completed" durumunuzun "Not Completed" durumuna çevrilmesini sağlayabilirsiniz.

4. Tüm bilgilerimi girmeden "Completed" düğmesine bastım, ne yapmalıyım?

5. Bölüm başkanıyım, "Completed" durumundaki bilgileri nasıl "Not Completed" durumuna çevirebilirim?

Academic-CV programına girdikten sonra 1 no'lu Academic Personel CV Information programına giriş yapmalısınız. Ekrana gelecek seçeneklerden "Approve" düğmesini seçerek bölümünüzdeki öğretim üyelerinin listesine ulaşacaksınız. Üzerinde işlem yapmak istediğiniz öğretim üyesinin karşısındaki düğmeye bastığınızda karşınıza aktivite başlıklarının olduğu ekran gelecektir. Bu ekranın en altındaki 'Remove Completed' dügmesine basarak bilgileri "Not Completed" durumuna çevirebilirsiniz.

Ekranın altında 'Remove Completed' düğmesi görünmüyorsa, söz konusu bilgilere ilgili Dekan tarafından onay verilmiştir ve bu onayın Dekan tarafından kaldırılması gerekmektedir. Dekanlık ile iletişime geçmelisiniz.

6. "Exit" düğmesine basarak programdan çıkarsam, girdiğim bilgiler silinir mi?

Hayır silinmez. Bilgilerinizi girerken "Insert" tuşuna bastığınız anda yazdığınız herşey veritabanına aktarılır ve silmediğiniz sürece orada kalır.

7. Girdiğim bilgilerin tümünü nasıl görebilirim?

Academic-CV programına girdikten sonra 1 no'lu Academic Personel CV Information programına giriş yapmalısınız. Programa giriş yaptığınızda aktivite başlıklarının olduğu ekrana ulaşacaksınız. Bu ekranın en altında yer alan "List" düğmesi ile tüm bilgilerinizi görüntüleyebilirsiniz.

8. Geçmiş yıllara ait bilgilerimi nasıl görebilirim?

Academic-CV programına girdikten sonra 1 no'lu Academic Personel CV Information programına giriş yapmalısınız. Programa giriş yaptığınızda aktivite başlıklarının olduğu ekrana ulaşacaksınız. Bu ekranın üst kısmındaki 'Activity Year' kutucuğunun içine görmek istediğiniz yılı (örneğin: 2015) girerek söz konusu yıla ait bilgilerinizi görüntüleyebilirsiniz.

 


The Criteria for Data Transfer

TRANSFERRING ACADEMIC THESES:

1- Data are available concerning the approved advisors and co-advisors (including the approval of the Graduate School of Natural and Applied Sciences, the Graduate School of Social Sciences, the Graduate School of Applied Mathematics, the Graduate School of Informatics or the Graduate School of Marine Sciences) of the post-graduate students who graduated between January 1st  < Activity Year>  and December 31st < Activity Year >.

2- If the student has an advisor but not a co-advisor:

a) if he is a PhD/ScD student data are transferred as Type="4.0.1.1.1" for Advisor

b) if he is a MA/MS student data are transferred as Type="4.0.1.2.1" for Advisor

3- If the student has both an advisor and a co-advisor:

a) if he is a PhD/ScD student data are transferred as Type =  "4.0.1.1.2" for Advisor and as Type = "4.0.1.1.3" for Co-advisor

b) if he is a MA/MS student data are transferred as Type = "4.0.1.2.2" for Advisor and as Type =  "4.0.1.2.3" for Co-advisor

4- If data has been entered by the academician before, transfer is not permitted so as not to change the data already entered.

TRANSFERRING COURSES:

1- The courses taught in <Activity Year> Spring Semester and Fall Semester are transferred.

2- All the sections of the courses taught by the academician are transferred.

3- The types of courses listed below are transferred:

7- If data has been entered by the academician before, transfer is not permitted so as not to change the data already entered.

TRANSFERRING PROJECTS:

AGUDOS, TUBITAK, BAP1, BAP2, SANTEZ, EU PROJECTS:

1- Among AGUDOS projects, those which have been initiated by the project administrator approved by the Revolving Funds and which have January 1st <Activity Year> as the Starting Date and December 31st   <Activity Year> as the Ending Date are transferred.

Among TUBITAK, BAP1, BAP2, SANTEZ and EU projects, those which have been initiated by the project administrator and are in progress between January 1st <Activity Year> (Starting Date) and December 31st   <Activity Year> (Ending Date) are transferred.

2- Data are transferred concerning Type, Funding Agency, Project Code, Coordinator/Researcher, Project Name, and From Month/Year to Month/Year. Data are not transferred concerning Number of METU Researchers (including Coordinator), Institution, Duration in the Current Year (Months), Overall METU Budget for the CURRENT YEAR, and Final Report Submitted.

 Data that are not transferred include obligatory data and data that affect performance point allocations!

3- Points cannot be calculated for the academic activities that have not been updated.

4- If data has been entered by the academician before, transfer is not permitted so as not to change the already entered data.

IF YOUR DATA HAS FAILED TO TRANSFER:

1- Your data might not have been recognized by the system where it has been transferred.

2- Your data might not comply with the transfer criteria.

3- Transfer might have failed so as not to change the data you have already entered.

4- The Starting/Ending Date of the Projects might not comply with the transfer criteria.

5- Data concerning the academician’s personal ID number / academic registration number, or Project Starting/Ending Date might be incomplete or incorrect in the records of TUBITAK, BAP1, BAP2, SANTEZ and EU projects.
