Frequently Asked Questions

1. I receive the error message: "You are not authorized to run this program". What should I do?

      You are entering your user code incorrectly or there is a problem with your user code. Please e-mail to academic-cv@metu.edu.tr including the information about your user code and your university registry number as well as the error message you have received.

2. I receive the error message: "Error in User Code or Password ". What does it mean?

      Please try to log on to ORCA with your user code and user password. Are you successful?
      If not, you have a problem with your user password. Please e-mail to academic-cv@metu.edu.tr including the information about your user code and your university registry number and the error message you have received.
      If you are successful when logging on to ORCA, then you were entering your password incorrectly. If the "CAPS LOCK" light on your keyboard is on, the password characters written in capital letters will render your password invalid since the system is case sensitive. Or you may be somehow mistaken to believe that your keyboard language is "Turkish" when it is actually "English" or vice versa. Please make sure that you are entering your password in the appropriate keyboard language. As a third option, you can check whether you are entering your password correctly or not, by entering your password in a field other than the password field. This may help you to check whether you are typing the password correctly or not.

3. I would like to change the information about me belonging to the previous years, however the program does not allow me to do so. What should I do?

      Please apply to your department’s head and request rendering of your status from "Completed" to "Not Completed".

4. I have clicked the "Completed" button before I was able to enter all the necessary information. What should I do?

      Please apply to your department’s head and request rendering of your status from "Completed" to "Not Completed".

5. I am the head of the department, how will I render the "Completed" status belonging to the year 2000 to the "Not Completed" status?

      Log on to the Academic-CV pages and fill in the boxes with the user code, password and personnel id number information and then click submit. You will see a table comprised of the names of the "Academic-CV" programs. Click the first link, which is Academic Personel CV Information. An index page will be displayed. Fill in the required spaces and then click ‘submit’.
      A page, which includes "My CV","Approve" and "Exit" buttons will be displayed. Click the ‘Approve button. The next page will display the names of the instructors. Please click the button next to the name of the instructor you will perform an operation on. A page will display the subject titles. You can change the status to "Not Completed" by clicking the 'Remove Completed' button at the bottom of the page.

6. I am the head of the department, how will I render the "Completed" status belonging to the years before 2000 to "Not Completed"?

      Log on to the Academic-CV pages and fill in the boxes with the user code, password and personnel id number information and then click submit. You will see a table comprised of the names of the "Academic-CV" programs. Click the first link, which is Academic Personel CV Information. An index page will be displayed. Fill in the required spaces and then click ‘submit’.
      A page, which includes "My CV","Approve" and "Exit" buttons will be displayed. Click the ''My CV" button. A page will display the subject titles. Enter the year you want to change in the box named 'Activity Year' on the top of the page (e.g. 1999) and click the'Select Program' button at the bottom of the page. You have come back to the page, which includes "My CV", Approve", and "Exit" buttons once again. Click the "Approve" button. The next page will display the names of the instructors of your department. (If the 'Approved1' and/or 'Approved2' column(s) belonging to a person include(s) the statement ‘APPROVED’, you can only render the ‘Completed’ status of this person to 'Not Completed' only after the dean removes the approval on this page). Please click the button next to the name of the instructor you will perform an operation on. A page will display the subject titles. You can change the status to 'Not Completed' by clicking the "Remove Completed" button at the bottom of the page.

7. There is no "Remove Completed" button at the bottom of the page. How will I render the ‘Completed’ status of the information to 'Not Completed'? (For the heads of the departments)

      There’s nothing you can do about it. The information is approved by the Dean. Therefore, dean is the only person to remove the approval.

8. If I log out by typing "Exit", will I lose the data I entered to the program?

      No. Clicking the "insert" button before you log out of the program will save you from losing the information you had just entered. Do not worry, because all the information will be transferred to the database and will remain there until you decide to delete them.

9.Should I enter the "Education" and "Employment Record" information as well?

      You do not have to fill in the information about "Education" and "Employment Record", unless there is modification in the year 2000 with regard to the previous years. What is essential in the "Academic Personnel CV Information" program is your declaration about the alterations and modifications that took place about you.

10. How can I view all the information I entered?

      Log on to the Academic-CV pages and fill in the boxes with the user code, password and personnel id number information and then click submit. You will see a table comprised of the names of the "Academic-CV" programs. Click the first link, which is Academic Personel CV Information. An index page will be displayed. Fill in the required spaces and then click ‘submit’. A page will display the subject titles. Click the "List" button at the bottom of this page.

11. How can I view the information about me belonging to the years before 2000?
